Can I file my own VAT return?

A general guide based on GOV.UK and HMRC guidance, not advice.

Yes. HMRC does not require you to use an accountant. Any VAT-registered business can file its own returns, as long as it follows the Making Tax Digital rules:

  • Keep your VAT records digitally, for example in a spreadsheet or bookkeeping software
  • Send your VAT return through software compatible with Making Tax Digital
  • Keep a digital link between your records and the figures you submit, so nothing is retyped by hand

HMRC has closed its own online VAT return form for almost all businesses, so you need software to file, but it does not have to be full accounting software. MTD bridging software sends the figures from your spreadsheet to HMRC.

What you need before you file

  • Your VAT registration number, from your registration certificate or business tax account
  • Your Government Gateway user ID and password, which you use to authorise your software with HMRC
  • Digital records of your sales and purchases for the period, with the VAT on each
  • MTD-compatible software, such as bookkeeping software or bridging software for spreadsheets

All VAT-registered businesses are now signed up for Making Tax Digital automatically, so there is no separate sign-up step.

How to file your VAT return yourself, step by step

  1. Total your figures. At the end of the period, total your sales and the VAT on them, and your purchases and the VAT you can reclaim.
  2. Fill in the nine boxes. Put the totals in a VAT summary tab in your spreadsheet, with formulas that pull from your records.
  3. Connect your software to HMRC. The first time, sign in with your Government Gateway details to authorise it.
  4. Upload and check. Upload the figures, for example as a CSV file, and check every box before you submit.
  5. Submit and keep the receipt. HMRC confirms the return straight away and gives a receipt reference.
  6. Pay any VAT due by the deadline, usually by Direct Debit or bank transfer.

Is it safe to file VAT online yourself?

Yes, if you use software recognised by HMRC and check your figures.

  • Secure sign-in: you authorise MTD software through HMRC's own Government Gateway page. The software never sees your password.
  • Proof of filing: HMRC gives a receipt reference for every return, and you can see your submitted returns in your business tax account.
  • Check before you submit: software can work out the totals, but it cannot fix wrong figures in your records.
  • Keep your records: keep VAT records for at least 6 years.

Check that your software is on HMRC's list of software compatible with Making Tax Digital for VAT.

What it costs to file your own VAT return

Accountants usually charge per return or a monthly fee, and full accounting software is a monthly subscription. If you keep your records in a spreadsheet, MTD bridging software is usually the cheapest compliant option.

Swift VAT Pro costs £5 a month for one business, including one submission every 30 days, which covers a quarterly return. Every plan has a 7-day free trial with no card needed.

Deadlines and penalties

  • Deadline: file and pay by 1 month and 7 days after the end of each VAT period. If you pay by Direct Debit, HMRC collects the payment a few days after that.
  • Late returns: each late return earns a penalty point. Quarterly filers who reach 4 points pay a £200 penalty, and £200 for each late return after that.
  • Late payment: penalties start if VAT is still unpaid 15 days after the deadline, and HMRC charges interest on late payments too.

How to fix a mistake on a VAT return

If you find an error on an earlier return, you can correct it on your next return when the net error is no more than £10,000, or up to 1% of your Box 6 figure with a maximum of £50,000, and it was not deliberate.

Larger or deliberate errors must be reported to HMRC separately, for example on form VAT652. This is a good time to get help from an accountant.

When it is worth using an accountant

Filing yourself works well for routine returns. Consider professional help for:

  • Margin schemes or partial exemption, where the calculations are complex
  • Imports, exports and overseas clients, until you are confident of the rules
  • Large errors on earlier returns, or an HMRC enquiry
  • Uncertainty about the VAT rate or treatment of a new product or service

Many businesses file their own returns and pay an accountant only when something unusual comes up. For overseas clients, see our guide to VAT on services.
